To send a balloon quote that books, send one clear document or link (not a price typed in a DM) that shows the line items, the total, what's included, the retainer amount, an expiration date, and exactly how to book. Then send a short message pointing to it and follow up if it goes quiet.
This post walks through what goes in the quote, a worked example, the message to send with it, and how to stop retyping the same quote in Messenger every night.
What should a balloon quote include?
A quote has one job: answer every question the client has, so the only thing left is "yes." Use this checklist:
- Your business name and contact info. Clients forward quotes to whoever pays. Make sure it's clear who it's from.
- Client name, event date, venue and setup time. Confirms you understood the job.
- The design in words. "12 ft organic garland in sage, ivory and gold chrome, on the backdrop wall." Attach the mockup or inspo pic if there is one.
- Line items. Setup, sign or marquee, add-ons, delivery, teardown.
- The total. One number, in bold.
- Retainer amount and balance due date. "50% retainer ($324.50) books your date. Balance due 7 days before the event."
- Expiration date. "Valid until Friday, Nov 14." (Here's why every quote needs one.)
- The date-hold rule. "Your date isn't held until your retainer is in."
- What's not included. Helium, outdoor install, early setup, anything you'd charge extra for.
- One way to book. A payment link or button. Not "let me know!"
If your quote is missing 6, 7 or 10, it's missing the parts that make people book. Most ghosting starts there; see why clients ghost your balloon quotes for the rest of the system.
Worked example: a quote that's easy to say yes to
Here's what a $649 birthday quote looks like laid out properly (example numbers):
| Item | Price |
|---|---|
| Organic garland setup, 12 ft, on client's backdrop | $550 |
| Custom welcome sign | $45 |
| Delivery and install (18 miles) | $54 |
| Total | $649 |
| Retainer to book (50%) | $324.50 |
| Balance due Nov 15 | $324.50 |
Below the table: valid until Friday, Nov 14 at 8pm. Your date isn't held until your retainer is in. [Pay retainer]
That's it. A client can read it in 20 seconds, screenshot it for their partner, and pay from their phone. If you're not sure your line items are priced right, start with how to price balloon decor.
Why a price typed in a DM loses bookings
"Hey girl! That would be $649!!" is a quote. It's just a bad one.
- It gets buried. By tomorrow it's 30 messages up, under the inspo pics and the "omg so cute."
- It has no context. No line items means the client can't see what they're paying for, so $649 gets compared to someone else's $400 for a different setup.
- It has no next step. No retainer, no deadline, no link. So nothing happens.
- It looks like a hobby. Clients judge your price by your process.
DMs are where a lot of balloon businesses live. In our November 2026 audit of 421 US balloon businesses, 33% of Instagram bios explicitly ran bookings through DMs ("DM to book"), and only 5% mentioned a deposit or retainer in the bio (State of the Balloon Business 2026). It's fine to talk to clients in DMs. Just don't let the DM be the quote.
The message to send with your quote
The quote does the heavy lifting. The message just gets it opened. Keep it to three or four lines:
Hi Jasmine! Here's your quote for Mia's party on the 22nd: [link]. It's good until Friday the 14th, and the retainer link to lock in your date is right inside. Let me know if you'd like to change anything!
Text, DM or email? Send it where the client is already talking to you, and if you can, send it in a second place too. If they DM'd you, reply in the DM with the link and ask for their number or email "so I can send you the confirmation." Now your quote lives somewhere it won't get buried, and you have a way to follow up that isn't an Instagram inbox.
Wedding or corporate client? Use email, with the quote as a link or PDF and the expiration date in the subject line: "Balloon quote for the Smith wedding, valid until Nov 14."
How to Stop Typing the Same Quote in Messenger Every Night
If you're answering inquiries at 10pm by retyping prices, delivery fees and retainer rules from memory, you need a quote template or quote builder software. Here's the time math:
- 6 inquiries a night
- 15 minutes each to figure out the price and type it out
- = 90 minutes a night
- × 5 nights a week = 7.5 hours a week spent retyping
That's a full extra workday, every week, doing the same thing. And retyping causes mistakes: you forget delivery on one, quote last year's price on another.
Fix it in three steps, from simplest to most hands-off.
Step 1: Write your price components down once. Before any tool, you need a list. Your setups and starting prices, your delivery zones, your add-ons, your retainer percentage, your minimum. If you don't have one yet, start with how to build a balloon price sheet.
Step 2: Make a reusable quote template. Options that cost nothing:
- A saved note on your phone with the full quote layout, where you only change the name, date and line items
- A Canva or Google Docs quote template you duplicate and export as a PDF
- Saved replies in Instagram or Facebook for your first response and your "here's your quote" message
This alone can cut a 15-minute quote to about 5.
Step 3: Use a quote builder. A quote builder adds up your line items for you, applies your delivery fee, calculates the retainer, and sends the client a link instead of a block of text. Popline's free Starter plan includes a price estimator and quote builder. If you want quotes that also follow up automatically after 2 days of silence and show a countdown to the expiration date, that's the Showcase plan.
Whatever you use, the test is the same: can you send a complete, accurate quote in under 5 minutes from your phone, between setups? If not, the system isn't done yet.
What to do after you hit send
Sending is not the end. Here's the short checklist for every quote:
- Quote has an expiration date and a retainer link
- You have the client's phone or email, not just a DM handle
- Day 2 follow-up is scheduled (phone reminder, spreadsheet or automatic)
- Close-out message is scheduled for the day before it expires
- Lead is on your list as "quote sent" with the date
The exact messages for the follow-ups are in the Day 2, Day 5, Day 10 text templates.
Common balloon quote mistakes
| Mistake | Why it hurts | Fix |
|---|---|---|
| "Starting at $X" on a real quote | Client doesn't know the real total | Quote the exact setup they asked for |
| No delivery line | Looks like a surprise fee later | List it, even if it's $0 |
| No retainer amount | No way to book | State the dollar amount and the link |
| Sending three versions at once | Too many choices, no decision | Send one, offer to adjust |
| Apologizing for the price | Tells them it's too high | State it plainly; let them ask |
If the reply you get is "that's too expensive," don't panic and don't discount on the spot. Ask what budget they had in mind and offer a smaller version of the design.
Frequently asked questions
How do I send a professional balloon quote?
Send a single link or PDF that includes your business name, the event details, the design, line items, the total, the retainer amount, an expiration date and a way to pay. Then send a short message pointing the client to it, and follow up if you don't hear back in two days.
Is it OK to send a balloon quote over Instagram DM?
You can send the link in a DM, but don't make the DM itself the quote. Typed prices get buried and have no clear next step. Send a proper quote link and ask for the client's phone or email so you can follow up outside Instagram.
What is the best balloon quote builder?
The best one is whatever lets you send a complete quote from your phone in under five minutes. A saved template in your notes app or Google Docs works to start. A dedicated quote builder adds totals, retainers and delivery fees for you and sends a clean link.
Should I include a mockup with my quote?
If you made one, attach it so the client can see what they're buying. One option is to charge a design fee for custom mockups and credit it toward the booking, so you aren't doing hours of free design for clients who never book.
