A balloon booking process that doesn't leak has six steps: capture the inquiry, qualify it, send a real quote, follow up, get a signed agreement plus retainer, and confirm the details before setup day. Every lost booking falls out at one of those six steps, and once you know which one, you know what to fix.
This post maps each step, shows where it usually leaks, and gives you the script or checklist to plug it.
What are the steps of a balloon booking?
Here's the whole process from inquiry to booked on one screen:
| Step | Goal | Where it leaks | Fix |
|---|---|---|---|
| 1. Capture | Every inquiry lands in one place | DMs in five apps, missed messages | One inquiry form or link, alerts on |
| 2. Qualify | Only quote real, fitting jobs | Hours spent quoting tire kickers | Ask date, venue, guest count, budget first |
| 3. Quote | Client knows the total and how to book | Price typed in a DM, no next step | Line items, retainer, expiration date |
| 4. Follow up | Get a yes or a clean no | Silence after the quote | Day 2 check-in, close-out before expiry |
| 5. Agreement + retainer | Date is locked, terms are clear | "I'll Venmo you Friday" | Signed agreement, retainer before the date is held |
| 6. Confirm | Setup day goes smoothly | Wrong address, gate code, client asleep | Balance due date, confirmation 48 hours out |
The quote and follow-up steps are where most decorators lose the most; the deep dive on those is why clients ghost your balloon quotes.
The leak math
Leaks compound. Say you get 30 inquiries a month (example numbers):
- Step 1: you miss or answer too late on 5. 25 left.
- Step 2: 8 aren't a fit (wrong date, budget way off). 17 quotes sent.
- Step 3 and 4: 12 go quiet. 5 say yes.
- Step 5: 1 never sends the retainer. 4 booked.
At an average of $450, that's $1,800. Now plug two leaks: answer every inquiry (+5 into the funnel) and follow up so 2 more of the quiet ones book. You're at roughly 7 bookings, or $3,150. Same Instagram, same ads, same prices. Run the same count on your own last month and you'll see which step to fix first.
Step 1: Capture every inquiry in one place
The leak: inquiries arrive through Instagram DMs, message requests you never see, Facebook, TikTok, texts from friends of friends. Some get lost, others get answered two days late.
The fix: pick one place inquiries go, and send everyone there.
- Put one link in every bio: a booking page or inquiry form.
- Turn on alerts for it so new inquiries reach your phone.
- When someone DMs, answer warmly and send the link:
Hi! I'd love to help with this. To get you an accurate quote, can you fill out this quick form? It takes about two minutes: [link]
Speed matters here too: a client who messaged three decorators tends to keep talking to the one who answered first with a clear next step.
Step 2: Qualify before you quote
The leak: you spend an hour designing and pricing for someone with no date, no venue and a $100 budget for a $900 inspo pic.
The fix: get four answers before you quote: date, venue (indoor or outdoor), guest count or scope, and budget. Add an inspo pic if they have one. If someone won't give you a date or any budget range, they're shopping, not booking.
The full checklist and scripts are in how to qualify a balloon client. Better yet, put those questions on your inquiry form so clients answer them before you ever reply.
Step 3: Send a quote that asks for a decision
The leak: "That'd be about $500!" in a DM. No line items, no deadline, no way to pay.
The fix: every quote includes line items, a total, what's included, the retainer amount, an expiration date, and one next step:
Total: $649. Book with a 50% retainer ($324.50) at the link below. Quote valid until Friday, Nov 14. Your date isn't held until your retainer is in.

Step 4: Follow up until you get a yes or a no
The leak: you send the quote and wait. And wait.
The fix: two scheduled follow-ups for every quote.
- Day 2: a friendly check-in that offers to adjust anything.
- Day before the quote expires: a close-out that says you'll release the date.
Hi Jasmine, I'm closing this quote out on Friday so I can open the 22nd to other clients. If you'd still like to book, the retainer link is here. If plans changed, no worries, just let me know!
Copy-ready texts: Day 2, Day 5, Day 10 follow-up templates.
Step 5: Signed agreement and retainer, in that order of importance
The leak: the client says "yes! I'll Venmo you Friday." Friday comes and goes. Or they pay, then argue about what was promised.
The fix: a booking isn't booked until you have both a signed agreement and the retainer.
- The agreement covers what you're delivering, cancellation and weather policy, setup access, and balance due date. See what belongs in a balloon decor contract.
- The retainer is a set amount (50% is a simple starting point) paid before the date is held.
Script for the "yes":
Yay, I'm so excited for this! Here's your booking agreement to sign and the retainer link: [link]. As soon as both are in, your date is officially locked.
Step 6: Confirm before setup day
The leak: you're outside a locked gate at 7am, the client is asleep, and the balance still isn't paid.
The fix: a confirmation routine with two touchpoints.
When the balance is due (for example, 7 days out):
Hi Jasmine! Mia's party is next Saturday. Your remaining balance of $324.50 is due today: [link]. Thank you!
48 hours before setup:
Confirming setup Saturday at 10am at 123 Oak St. Is there a gate code, parking spot or contact person I should know about? And can you confirm the area will be clear when I arrive?
Get the address, access instructions, an on-site contact and a backup phone number, in writing.
How to keep track of all six steps
Six steps times a dozen active leads is a lot to hold in your head. At minimum, keep one list with a row per lead and a "stage" column: Inquiry, Qualified, Quote sent, Follow-up 1, Closing, Booked, Confirmed, Done. Check it once a day.
When that list gets long, that's what a CRM is for: every client, their stage, dates, retainer, balance and the next follow-up in one place, with reminders so nothing slips. See what a CRM holds for a balloon business. Popline's Studio plan includes a full CRM with follow-up reminders and an onboarding call to set up your packages, prices and agreement, if you'd rather have it built for you.
Your 10-minute daily check:
- New inquiries answered?
- Anyone qualified who still needs a quote?
- Quotes sent 2 days ago that need a check-in?
- Quotes expiring tomorrow that need a close-out?
- Yes's still missing a signature or retainer?
- Events in the next 7 days with balance or confirmation due?
Frequently asked questions
What is the booking process for a balloon decorator?
A solid process has six steps: capture the inquiry in one place, qualify it with date, venue, guest count and budget, send a quote with a retainer and expiration date, follow up, collect a signed agreement and retainer, and confirm details and balance before setup day.
When is a balloon booking officially booked?
When you have both a signed agreement and the retainer payment. A "yes" in a DM or a promise to pay later doesn't hold the date. Say this clearly on every quote so clients know exactly what reserves their event.
How do I keep track of balloon inquiries and bookings?
Start with one list or spreadsheet that has a row per lead and a column for its stage, and check it daily. As volume grows, a CRM keeps client details, dates, payments and follow-up reminders together so leads don't slip through.
Why am I getting inquiries but no bookings?
Usually one step is leaking: slow replies, quoting without qualifying, quotes with no next step, or no follow-up. Count how many leads reach each step for a month, and the biggest drop shows you exactly what to fix first.
